CONCLUSION


From the three topics given by Dr. Roya for my reflective journal, I’m more understanding about those three web based application which are web based occupational safety and health, web based employee learning and development and web based compensation and benefit planning. These three topics have their own advantages and disadvantages due to the scopes. Furthermore, through this web based application can facilitates the employees and employers to manage the information and streamline the workflow.
In a nutshell, web based applications have come a long way and is offering competitive advantages to traditional software based systems allowing businesses to merge their systems and processes and above all reduce costs as well. The top management plays a main role to ensure that those systems must be implemented in their organization. I hope that the web based application must always be upgraded from time to time according to the trend technology.

WEB BASED COMPENSATION AND PLANNING


From the recent class, my classmate have do a presentation about the web based compensation and planning. There is lots of information there that we can take. Web- based compensation is an online approach that helps an organization to manage, analyze, gather and store the information regarding the compensation.  It is a web-based that provides a set of secure regarding the web-bases payment, pension and also insurance application. Web-based benefits planning is been used to organize the benefits planning in the organization by the combination between the human resources information and payroll processing.
According to IGI Global (2011), new web based compensation programs speed up collecting data with a built-in configurable compensation questionnaire which allows customization. It’s means that the employee must entered the data via online and processed to generate statistics and report. So, the systems will import the salary data external data for comparison.
Moreover, there are two types of online compensation systems which are fixed compensation and variable compensation. These two types of compensation give a different meaning and components.  Fixed compensation is about the fixed payment for the employee such as pay wages, bonuses, merit pay or cost of living adjustment and equity adjustment.
 Besides that, variable compensation also known as incentive pay refers to pay earned beyond an employee’s normal weekly, monthly or annual salary. Not a guarantee, it is paid out only if an individual or team achieves a goal. Typically these goals relate to profit, sales growth, productivity or customer service improvement. Moreover, online benefits plan is a system that managed the data about benefits of employees. This system has facilitated employers to manage the benefits of employees and help in streamlined workflow.
 There are many advantages on this web based application. For example these systems enable the planning and budgeting of the employee salaries and also any increase in their payment of their wages. It depends on the performance of the employees to increase or decrease the payment. Besides, it also improvises the effectiveness of the accurate information. Before this, the employers have to manage the payment or benefits through traditional way which is use a paper or form. Everyone hates to deal with piles of paper unless they don't have any other alternatives. The benefit of web based solution is that they not only modernizes established business practices, but also makes services and information available from any web-facilitated PC.

WEB BASED OCCUPATIONAL SAFETY AND HEALTH


On the previous class, my group had do a presentation about web based occupational safety and health. Occupational safety and health is about developing procedures and also policies that can help employees and employers by preventing them from being injured or become ill due to the hazards occur in their workplaces. It is important to have OSH in the organization in order to reduce the incident happens.
In order to ensure effective action, it is essential to establish occupational safety and health (OSH) management systems at all workplaces for continual improvement of working environment and preventive measures.
Many of the organization promote the occupational safety and health in the workplace.  The example of government bodies that are responsible to this HR function are the National Occupational Health and Safety Commission, the Occupational Safety and Health Administration, Health and Safety Commission and the Occupational Safety and Health Council.
 Besides, In Malaysia, the Department of Occupational Safety and Health (DOSH) under the Ministry of Human Resource is responsible to ensure that the safety, health and welfare of workers in both the public and private sector is upheld. DOSH is responsible to enforce the Factories and Machinery Act 1967 and the Occupational Safety and Health Act 1994. There are responsible to protect co-workers, family members, employers, customers, and many others who might be affected by the workplace environment.
Moreover, this web based system also helps the organizations to avoid employee injuries in the workplace and ensure that employees comply with OSHA standards through OSHA Compliance Assistance in their web based system that contains both online and written resources. These include e-Tools, factsheets on specific health and safety topics, employee training resources and guidelines for complying with specific regulations. The e-Tools are stand-alone, interactive, web-based training tools on occupational safety and health topics.
 Furthermore, the web based occupational safety and health systems have many advantages. For example is the process is more systematic which means that the data entry of employee in courses provided such as fire training or medical claims are collected and it kept in good condition and well organized in the systems. All the accidents that happen in the workplace will be recorded in this system. Besides, it is also reduce time because what they need to do is just keep in the information in the systems and the employers feel unburden because they don’t need to work with many form.

WEB BASED EMPLOYEE LEARNING AND DEVELOPMENT


First of all, about web based employee learning and development, it is important in the human resources function. Learning happens all the time whether or not you are fully aware of it. Nowadays, as we can see, with the changes of new technology advance, the employees learning become easy process. It is because with the advent of this system, the employee can increase and improve their knowledge and skill via online such as e-learning.
E-learning according from American Society for Training & Development, they define it as covering a wide set of application process, such as web based learning, computer based learning, virtual classrooms and digital collaboration. Through e-learning, the employees can upgraded their skills and knowledge but e-learning also have disadvantages and have limited for teaching practical or physical skills. So, there will no interaction and face-to-face teaching process.
According to Thorpe and Clifford (2000), learning and development within organizations is not going to be delivered unless there is a development need. It is true because the employees need a time and resources to perform the task on the required standard. So, it is impossible for organizations to invest continually in one person’s development without seeing the return on investment. The employee must take this opportunity in order to improvise their KSA’s.
Moreover, the purpose of ELD is to improve and correct an employee’s performance and the organization’s itself. The training programs can increases the employee’s knowledge, skills and also attitudes towards their current job. Besides, it helps the employee to manage their stress because of work overload. For the development programs, the organization must the conducts a program that preparing the employees with their future work. So, the employees will be more prepare with the task and responsibilities that they will do it in future.
On the other hand, the component of ELD systems including employee personal information, performance before undergo training, training course provided, the transfer of training, and program evaluation( summative and formative) . These five components play a main role in this system in order to improve the employee’s and organization’s performance.

There is several advantage of using ELD systems. For example is the employees improved in computer skills. The employee must use the computer during the training session or by checking what training that they should attend. From this view, we can see that the employees automatically can improve their computer skills.

INTRODUCTION

Nowadays, most of the organization had used the web based system in order to facilitates the employees and managers to manage the database or else. Besides, Web-Based system is an applications or services that are resident on a server that is accessible using a Web browser and is therefore accessible from anywhere in the world via the web. So, the web based applications now have evolved with some improvements in technology and also the security.
Furthermore, it gave more benefits to the organization in all aspects such as it is more manageable and reduced cost. The example of web based systems in HR management that used by most organization are web based occupational safety and health, web based compensation planning and Web Based Employee Learning and development. These three systems were taught in the previous class. So I will give more details on my reflective journal about those topics.

SUMMARY



As a conclusion, from the three topic above, I concude that Human Resources Information System (HRIS) is important in human resources area. It is because it will facilitate the employee,manager, and also organization to manage the system such as payroll, personal data and others. Furthermore, an effective HRIS will provides information on just about anything the organization needs to analyze about employees and applicants.
Today, we can see that technology help a lot to organization in order to facilitates them. If the organization do not use this technology as well, they will be left behind and hard to them to enter the global market.
         From my opinion, HRIS system will give more benefits to entire organization because it faster the information process, have a greater information accuracy and also improved planning and program development. Through e-recruitment, the organization can cut their cost and time and the recruitment process will more faster.

REFLECTIVE 3 : HUMAN RESOURCE RECRUITING AND STAFFING



From the recent class, Dr.Roya had taught about the new topic which is E-recruitment System. When we talk about recruiting and staffing, it is all about the resourcing process of an organization. Many big and small organizations are using Internet as a source of recruitment. I think this system can give the high job vacancies and easily the process regarding the recruitment process and the admin can update faster the requirement that needed by company and company can shortlisted the submission of the form.
After understood the main concept of recruiting and staffing, Dr. Roya continued with e-recruitment system. From my understanding of this topic, e-recruitment is the process of recruiting and hiring by using technology tools. More accurately, it is a system for employers to advertise their job opening or vacancy and for candidates to submit their online job application through internet. Nowadays, the growth of internet means that a significant amount of recruitment is now carried out online.
    Moreover, E-recruitment is beneficial in terms of cost and time effectiveness. From what I expected before, the organization could save the cost by advertising the job opening via company’s website instead of publishing advertisement on newspaper. Besides, online recruitment helps the organizations to weed out the unqualified candidates in an automated way. The recruitment process are more faster as expected.
Other than that, I had learnt new term today psychological contract fulfillment. By referring to Dr. Roya, it is a verbal mutual agreement between an employee and employer about each other’s commitment to the organization. It is one of the benefits because it could increase the satisfaction between both parties.
Of course, e-recruitment has own disadvantages as well. It is using technological approaches and if any problems happen on the system will cause the information loss. For example, if the system attacked by virus or spyware, the database will be corrupted and lead to missing.
In addition, Dr. Roya has mentioned about content management. It is about the ways of managing contents on website such as how to arrange the template or put the content properly. It failed to do so, the contents will be unclear and it will create problems for users.
     At the end of class, I had learnt so many new terms that I have never heard before and maybe I will often use it after this. I felt satisfied because I can gain more knowledge about e-recruitment.

REFLECTIVE 2 : WEB BASED EMPLOYEE SELF SERVICE


What I learnt about Web Based Employee Self Services it  is a medium for employee and managers to get the information, conduct a transactions, and it is a shortcut process that previously need multiple steps, paperwork, the involvement from HR staffers, and also all the delays such processes are heir to. There are several types of self-service applications: Interactive Voice Response, Internet and intranet. Besides that, this interactive technology facilitates employees to change their own address, contact details and next of kin. Some applications enable employees to change their bank account details and provide details of pay slips, both current and historical. So, this self-service gives a great impact to the organization.
Furthermore, with the changes of technology, I feel proud that this application can help manager and employees to do their job without feel burden. It is because just use this application; the employee can know what they want to know such as payroll detail. These are becoming more common because of technology gets cheaper and easier to use. Most of the IT companies use this application to their employees. Moreover, there are most commonly planned for employee through ESS are such as HR communications, benefits services, personnel data updates,  and last but not least job postings. Besides that, the implemented self-service applications for the manager are personnel changes, salary actions and job requisitions.
A company can provide access to employee self service in two ways, via intranet or Intranet. With a corporate intranet, employees access the self service features from computers connected to a computer network within the company. If a company chooses to open access via the Internet, employees can access self service from anywhere in the world by using a computer, a browser and a phone line connection to the Internet.
On the other hand, benefits are still same whether employees access self service via a corporate intranet or the Internet. In terms of cost savings, the primary gain is in reduced costs for delivering human resource and payroll services to employees. When employees have access to self service, they are able to answer many questions independently, thus lowering the number of phone calls to the HR and payroll departments.
At the end of the class, I feel that ESS are important because it easier for employees to employees and managers get the information such as in UTM, there are also ESS like Aimsweb and Elearning.

REFLECTIVE 1 : INFORMATION SYSTEM FOR COMPETITIVE ADVANTAGE


Nowadays, technology always keeps changing year by year.  All the gadgets always are improved gradually. In the recent class, Dr. Roya stated that information system in human resources can give improvement on organization. Besides, it provides competitive advantage for the companies. With the advent of advanced technology, most organizations want “something” that can give them great benefits to compete with other organizations. However, the use of this technology should fit with the organization’s strategy.  Otherwise, the organization may be the ‘destroyed’ such as bankruptcy and high turnover.
On the other hand, IT plays a major role in reengineering most business processes. It can substantially increase process efficiencies, improves communication inside or outside organization, and also facilitates collaboration.
So, from what I understand about competitive strategic is it about advantage that a firm has over its competitors, allowing it to generate greater sales or margins or retain more customers than its competition. There are five ways to gain competitive advantage such as cost leadership, differentiation strategy, innovation strategy, growth strategy, and alliance strategy.
    Through cost leadership, a company can gain advantage if it can sell more units at a lower price while providing quality and maintaining or increasing its profit margin. As we know, all the customers like to pay a little as possible. So, one way to increase market share is to lower the prices by reduce the costs. Then, differentiation means that company must focus on what they need to improve. They just need to differentiate a firm’s products from its competitors’.
Furthermore, organization also must create a new and unique product or services. Through this innovation strategy, many organizations and individual needs give an organization a great competitive advantage for example eBay. Other than that, with the advent of growth strategy, it allows an organization to enter the global market. Through this strategy, the product or services can be diversifying. For the last strategy is alliance strategy. Companies can the competitive advantage by combining services to enable customers to use the same technology for purchases from different companies. For example, airlines company with hotel and car rental firms to offer travel and lodging packages.
In a nutshell, from what I get after the class finished, the organization must have their systematic and advance strategies to compete with other organization.

INTRODUCTION



First of all, let me introduce myself.  My name is Muhammad Syafiq Bin Ezanee, and now I’m a student from Faculty of Management and Human Resource Development at Universiti Teknologi Malaysia (UTM). Currently I’m studying undergraduate level in Science Human Resources Development. This semester I have taken HRIS subject which stands for Human Resources Information System and requires me to make my own blog.
From what I understand, Human Resources Information System is a software or application that help, and guide employees and managers to facilitates them to manage their task such as about the payroll or storing personal data. Moreover, Human Resources Information System (HRIS) defines a systems and processes at he intersection between HRM and IT. All the electronic tools are used to access HR-related function such as recruitment and selection, training and development, wages and salary administration and others.
